Program Assistant

This is a remote position; however, we are seeking a candidate who is local to Montgomery County, MD, or nearby areas, to assist with occasional in-person events.


Reports to: Executive Director
Job Type: Part-Time (15-20 hours per week @ $20/hr and may include evening or weekend work)

About xMinds:
xMinds is a nonprofit organization dedicated to improving the educational outcomes for autistic students in the local community. We work collaboratively with families, educators, and other providers to support students with autism in their journey from Pre-K to 12th grade. Our programs focus on education, advocacy, and community building.

Position Summary:
The Assistant will support the Executive Director and other team members by managing administrative tasks, coordinating events, and ensuring smooth daily operations. The ideal candidate is organized, detail-oriented, and passionate about making a difference in the autism community. This role requires flexibility, effective communication, and the ability to juggle multiple priorities. 

Key Responsibilities:

  1. Program Support:

    • Assist in managing program records and data, including participant information and feedback collection.

    • Support the delivery of services, ensuring materials and resources are prepared for meetings and trainings.

  2. Communication:

    • Draft and edit emails, newsletters, and social media posts to keep the xMinds community informed of upcoming events, updates, and resources.

    • Respond to inquiries from families, volunteers, and partners with professionalism and empathy.

  3. Event Coordination:

    • Support planning and execution of xMinds events, such as discussion groups, playground meetups, monthly webinars, and social events.

    • Coordinate logistics, including venue arrangements, registrations, materials, and communication with attendees.

  4. Research and Documentation:

    • Conduct basic research to support program development, grant writing, and advocacy efforts.

    • Organize and maintain xMinds documentation, guidelines, and internal policies.

  5. Volunteer Coordination:

    • Help manage volunteer recruitment, assignments, and scheduling for events and initiatives.

    • Maintain positive relationships with volunteers, ensuring they are well-prepared and appreciated.

  6. Administrative Support:

    • Assist the Executive Director with scheduling, correspondence, and meeting preparation.

    • Maintain organization calendars, arrange meetings, and prepare meeting materials.

    • Handle day-to-day administrative tasks, including answering emails, phone calls, and filing.

Qualifications:

  • Excellent organizational and time management skills, with the ability to manage multiple tasks efficiently.

  • Strong written and verbal communication skills.

  • Proficient in Google Workspace and the Google Suite of applications including Google Docs, Sheets, Slides, and Forms. 

  • Proficient in Canva and familiarity with graphic design software. 

  • Proficient in Wild Apricot or experience with other membership management software.

  • Experience in event coordination or project management is a plus.

  • Ability to work independently and as part of a team.

  • Compassionate and understanding approach when working with the autism community.

  • Demonstrate a professional demeanor characterized by courteous and respectful communication, both verbal and written. 

  • Prior experience in the nonprofit sector or with autism-related organizations is desirable but not required.
